Pulse 2023#5

Dates: February 27 – March 13

  • The Ubuntu Summit is happening again in 2023 and we’re putting thoughts into how we can attract excellent content. Stay tuned!
  • Preparation for Ubuntu Testing Week (areas of focus, test cases, messaging)
  • Product alignment support for the Indico Operator for our IS DevOps team.
  • We worked with the Community Council and teams at Canonical to address some feedback about the Ubuntu Pro messaging. Check out the FAQ if you have open questions about it.
  • Our documentation frontend is now linked into the menu structure.
  • We’ve begun working with Web & Design on reviewing some more elaborate changes to the community menu on ubuntu.com
  • Shipping for merchandise going to SCaLE 20x. We’re excited to be there!

Dates: March 13 – March 27
We are gearing up towards the release and are bringing a few smaller initiatives to a close.

  • Youngbin Han will be traveling to FOSSASIA Summit 2023 on behalf of Ubuntu, where there will be a joint booth with some other FOSS projects. If you don’t have an Ubuntu Sticker yet, head over to Singapore April 13–15th!
  • We created some email templates to explain the focus of this year’s Ubuntu Summit to content creators and community contributors
  • We’re sponsoring Lucy Llewellyn and Merlijn Sebrechts to go to Linux Application Summit through the community donations fund. They will be speaking about Bringing Windows applications to Linux app stores with Wine snaps.
  • We contacted Fedora and to organize a joint release party at LAS, as our releases are fairly close together
  • We’re also preparing some decoration for the release party.
  • We ordered merchandise for LAS conference and the planned release party
  • We’re helping Canonical IS decomission some older hardware. Some of these are running community projects. We discussed planet.ubuntu-women.org with the Women’s TMRG, it will be decommissioned for the moment. We are hoping for a future initiative to explore new ways to get people together. If you are interested in supporting a renewed effort please do get in touch!
  • We discussed a synchronous communication project requirements with Varshi from ISDevops. Current focus is to understand feasibility of Matrix as a communication platform.
  • Initial survey of interested internal teams for the Ubuntu Summit is completed. All interested parties have been added to our main document. There seem to be a good interest within Canonical, and various teams and individuals have been reaching out to us.
  • We have an initial draft of a playbook for organizing events internally. Basic charts and tracking tools have been added to this document, such as project charter, RACI chart & Jira, Budget, Timetable, Merchandise

Pulse 2023#7

Dates: March 27 – April 10

  • The Ubuntu Community is organizing presences at FLISoL, a distributed tech conference in Latin America occurring in many cities at once. It was originally an install festival, and has evolved to a tech conference. See https://events.canonical.com/event/18/ for more information. We have had some initial conversations to support them in their efforts.
  • We’re sponsoring KDE Akademy this year! More information at https://events.canonical.com/event/15/
  • We sent out a Call-To-Action on social media and other community channels to help in testing out the Ubuntu 23.04 beta.
  • We gathered art assets and flavour information from our new official flavour leads for informational and promotional needs.
  • Posted a topic on the Ubuntu Discourse notifying the community of the decommission of selected Planet Ubuntu instances. (Topic Link: https://discourse.ubuntu.com/t/planet-ubuntu-infrastructure-maintenance/34801)
  • Decommission notifications were sent to email addresses associated with targeted Planet Ubuntu instances.

  • We’ve been working on a new iteration of the patch pilot program and have had some conversations around scheduling. We’re going to try it out soon in a soft-launch, and if it works well will have some more public communications around it.

Dates: April 10 – April 24

  • We met with the Element team to discuss Matrix/Element as a platform for synchronous communications. The first meeting with Rob Aherne and Thibault Martin was mostly about the platform, options, support costs. We also had a second meeting with Rob Aherne and Pre-Sales engineer, where they showcased Element, Synapse, explained differences between the free and enterprise editions. They also walked us through features such as permissions, federation audit bot, admin bot, Integration, authentication, and authorization.

  • Ubuntu community members and volunteers traveling to LAS 2023 are willing to write a joint discourse post to provide a good quality report of the event. They asked for our support on this initiative. We created a document with guidelines, suggestions, and examples on how to write a great conference report on discourse. We asked our Content team to review it, and we shared with Merlijn Seberecths, Lucy Llewelyn, and Michal Kohutek.

  • We discussed decommissioning of the server that hosts ubuntu-it services. Mattia Rizzolo understood the need to migrate services, provided a timeline to complete the project by end of June if given access to new virtual machine by mid May.

  • AWS Community day conference organizers are looking for tech speakers from Canonical to bring a talk on Ubuntu x AWS hardening tips. We worked with conference organizers, gathered information, and passed the message to our Mattermost ~Tech-Speakers channel. We also reached out to John Chittum and Mark Esler to spread the message to the public cloud and security teams.

  • We created and filled a RACI Chart for the Ubuntu Summit 2023. We listed all categories, tasks and added RACI details. Items from the RACI chart will also be used to populate tasks in the Jira Epic. We also created Jira Labels to match each major category of the RACI chart.

  • We filled the high level timetable from the conference brief template with realistic, high level timelines for the Ubuntu Summit 2023.

  • We created and filled a project charter for the Ubuntu Summit 2023. We entered information such as conference summary, goals, scope, deliverables, success criteria, stakeholders, resources.

  • We cloned Community Event playbook into a document for the Ubuntu Summit 2023. We filled basic details of the event such as schedule, location, web links, event capacity.

  • We outlined a plan for a conference report blog post, to be written by our sponsored community contributors. This should have a focus on the joint release party, and the spirit of collaboration that LAS is promoting. We communicated the plan to our sponsored community contributors, and asked support of our social media team.

  • We confirmed that all volunteers traveling to LAS 2023 have a clear understanding of the reimbursement process. 2 Ubuntu Members are traveling to LAS to deliver a talk successfully applied for community donations fund. Applications were confirmed and approved early . 1 Community contributor is traveling to LAS to help staff the Ubuntu booth and organize the release party. His expense submission process has been drafted and approved by the Canonical Community team.

  • We worked with our team on merchandise shipment. Felipe Borges helped us with shipment address and storage space at the venue. We confirmed both shipments are either delivered or planned for timely delivery. We also updated LAS 2023 conference brief and provided tracking numbers to LAS event organizers.

  • We organized gadgets and decorations for our joint release party with Fedora at LAS. This includes:

  • We reached out to the Ubuntu IRC Council via email, and asked for their help and support on the ¨Synchronous Communications” initiative.

  • Worked with new flavour leads to ensure they had everything in place for 23.04 release. Built a temporary website for Edubuntu project: https://edubuntu.org/

  • Introduced new official flavours with article on Ubuntu blog (https://ubuntu.com/blog/expanding-the-spice-rack ) and promoted on Ubuntu social media channels.

  • Updated Community Ethos and Governance Documentation on new Community documentation frontend.

Pulse 2023#9

Dates: April 24 – May 8

This sprint was dominated by our internal company event, where we had a number of in-person discussions. It was great to get together with the team. Here are some of the topics that came up:

  • Ubuntu Summit 2023
  • The future of synchronous communication
  • Being more effective with external events
  • Making the community donations request process less manual and cumbersome
  • Lowering the barrier of entry to the community
  • How we can better support flavors and engaged individuals
  • Consulting for various teams at Canonical on being more engaged with the community
  • Mauro and Igor held a great workshop on public speaking which we might repeat at the Ubuntu Summit.

A few other select things that came up during this time:

  • We’ve discussed with the Indico team on how to best provide access to community members who want to organize events. There may be some software changes required before we can grant access.
  • We’d like to get some Kubuntu volunteers to KDE Akademy so they can help shape the future of KDE. We’ve reached out to the Kubuntu Council and are awaiting feedback on who would be good to send.

Pulse 2023#10

Dates: May 8 – May 22

We had some folks on annual leave after the sprint, so this is a shorter one. Enjoy!

  • We organized the first Flavour Sync meeting for 23.10 Mantic Minotaur. We ran two sessions at 15:00 UTC and 22:00 UTC with Desktop and Release teams. We consolidated meeting notes and posted on Discourse. We also reached out to Flavour Leads that missed the meetings via IRC, where we linked the Discourse post.
  • Robie has graciously helped get the patch pilot IRC bot back on track.
  • We created a DORS/CLUC topic post under the Events category in Ubuntu Discourse along with link to Indico site where community members can learn more about the conference.
  • Created a custom form in DORS/CLUC Indico event page encouraging attendees interested in joining a Croatian LoCo to sign up. Speakers at the conference will be sharing this link in their talks and when appropriate while at the conference.
  • We finalized our list of speakers and workshop leaders that will be presenting at the upcoming DORS/CLUC conference in Zagreb, Croatia. The conference schedule can be found here: https://www.dorscluc.org/schedule/
  • We worked with a local print shop in Zagreb, Croatia to produce Ubuntu themed merchandise for the DORS/CLUC conference. Speakers and workshops leads will be distributing the merchandise to conference goers.
  • Looking forward to Open Source Festival Africa! Thanks to support from the organizers, we’re getting the visas in line which will hopefully be approved soon!
  • We managed travel booking for GUADEC 2023. We coordinated which hotel Canonical and Ubuntu attendees will be using, booked our flights and shared information with merchandise shipping provider for delivery and pickup.
  • We prepared a conference brief for GUADEC 2023. We determined our involvement, budget, merchandise list, and Canonical participants. We decided to have a call for volunteers, and travel sponsorship, especially for community members from the Baltic states.
  • We’re going to KDE Akademy! This conference is centered around KDE, most notably used by our flavor Kubuntu and Ubuntu Studio. We’d like to chat with the local Ubuntu community while we are there, and learn more on how we can support KDE and our flavors.

Dates: May 22 – June 5

  • The patch pilot program is starting up on Monday, June 5th, we’re beginning with a soft launch. The reference guides are available on the Canonical discourse, we’ll move these to the public in a few weeks.
  • We worked with UWN team to ensure new UWN Category in Ubuntu Discourse has proper permission levels and appropriate content moderation.
  • We created a new Ubuntu Weekly News category within the Ubuntu Discourse. UWN leads will be sharing their weekly periodical on both the Ubuntu Discourse and Ubuntu Wiki until they determine it’s appropriate to fully switch to Discourse only.
  • We submitted Ubuntu Summit to the list of events for 2023. https://foss.events/
  • Canonical is now listed as a sponsor on gnome.org thanks to a hardware sponsorship we reported about recently.
  • We encouraged community volunteers that attended LAS 2023 to share their conference reports on social media such as twitter and mastodon. We mentioned appropriate hashtags: #ubuntu #las2023 hastags.

  • We explored various cloud provider options for the Ubuntu-it.org community server migration. We informed Ubuntu-it.org system administrator groups about available options, and worked with them to gather hardware requirements and timelines.
  • We hosted a meeting with Seth Arnold from the IRC council to discuss the Synchronicity project. We gathered feedback on alternative chat platforms, bridging options, and moderation expectations.
  • We are planning future Indaba shows with the project leads of the newly approved flavours, Edubuntu and Ubuntu Cinnamon.
  • We’re going to KDE Akademy this year. Check out our blog post KDE, Ubuntu, and a Million Reasons Why Snaps are Important to learn more.
  • We’d like to get some Kubuntu volunteers to KDE Akademy so they can help shape the future of KDE. We’ve reached out to the Kubuntu Council and are awaiting feedback on who would be good to send.
  • We prepared a blog post and a discourse call for volunteers for Ubuntu @ GUADEC 2023. Both blog post and discourse post were published on 30 May 2023. We also worked with communications team to boost posts on social media.
  • We prepared and published a GUADEC 2023 call for volunteers on the Ubuntu Discourse, to encourage local Latvian Ubuntu, Linux, and Open Source communities to join the Ubuntu crew at GUADEC 2023.
  • Posted an article on the official Ubuntu blog encouraging the community to attend and volunteer for the upcoming OSCAfest conference in June. Blog post Link: https://ubuntu.com/blog/ubuntu-at-oscafest-2023
  • We created a conference brief for the upcoming OSCAfest conference in Lagos, Nigeria detailing our sponsorship level, engagement plans and desired community outcomes.

  • We worked on a strategy for the future of the Indaba on Ubuntu On Air YouTube channel. We drafted a document and shared our vision for the program. This includes an overview of the history, and specific goals, ownership, format, and topics.

Pulse 2023#12

Dates: June 5 – June 19

  • We worked with the UbuCon organizers and modified the indico website for UbuCon Asia 2023. We updated care of logos, event location, call for abstracts, etc.
  • We worked with the EA team and modified Ubuntu Summit 2023 registration for for in-person attendees. We added and improved some important fields such as visa requirements and dietary preferences or restrictions. We also added some administrative options that will be used by event organizers to streamline and improve workflows.
  • We communicated news about the Ubuntu Summit 2023 announcement and Call for Proposals blog posts on various community forums, chat channels, FOSS events.
  • We created call for abstracts for the Ubuntu Summit 2023, and scheduled it to open June 5th, 2023 at 09:00AM Riga time. The call for abstracts went online as planned, and is now available on our event website.
  • We determined tracks for the Ubuntu Summit 2023. Tracks updates are live on summit.ubuntu.com event website.
  • We updated the link for summit.ubuntu.com to point to this years event.
  • We worked with the Canonical EA team and the Ubuntu Summit organizational team to define options on dietary restrictions and amended our in-person registration form accordingly. We also decided on duration and frequency of morning break, lunch break, and afternoon break.
  • We created a communications plan on the Ubuntu Summit 2023 conference brief.
  • We’re looking to improve how we process community requests such as donations and certificate requests. Currently this is in the stage of getting sign-off to use one of our existing internal systems. We’ll keep you updated on this.
  • We contacted local Ubuntu and Linux / FOSS contributors in Latvia and made arrangements to meet at GUADEC 2023. We will discuss Ubuntu LoCo and other involvement with the Ubuntu community when we meet in Riga.
  • We worked with Canonical events team and GUADEC organizers to prepare merchandise order. Events team confirmed orders are being processed. We shared information to coordinate merchandise delivery and pickup at the Hotel. We setup calendar reminders to track Merchandise order and shipment status, and get tracking numbers and labels from shipping provider.
  • We created a schedule and engagement plan for the Ubuntu booth that will be present at this years’s OSCAfest in Lagos, Nigeria.
  • We helped promote the upcoming OSCAfest conference in Lagos, Nigeria that will feature multiple speakers from Canonical and an Ubuntu booth.
  • Ubuntu and other Canonical merchandise was ordered for OSCAfest in Lagos, Nigeria.

Dates: June 19 – July 3

  • We created merchandise kits and processes for LoCos, conferences and community events.
  • We started exploring frontend options for Ubuntu Weekly News to help increase community visibility and encourage future contributions.
  • We invited content creators from various Linux podcasts and YouTube channels to attend the Ubuntu Summit 2023.
  • We created a project charter for the synchronicity project.
  • We ordered a collection of Ubuntu themed merchandise to distribute from the Ubuntu booth at Akademy 2023.
  • We sent numerous folks from Canonical to this year’s OSCAfest in Lagos, Nigeria. Canonical presented two workshops along with an Ubuntu booth as part of our Silver sponsorship.
  • The Community Team, along with the support of the LoCo Rebooters Group, created an action plan on building a new portal for Ubuntu LoCo activities. See this post to join the discussion.
  • We created an automation template for the work around release wallpaper competitions.

Pulse 2023-14

Dates: July 3 – July 17

Part of the team was out for holidays around this time, therefore slightly less work done:

  • We worked with the LXD community to provide a welcoming platform within the Ubuntu Discourse. We crafted messaging to ensure the LXD project would get as much support as possible, and we informed Discourse moderators of this newly onboarded community.
  • We met with various Ubuntu Flavour leads and folks from the Canonical Desktop team as part of our regular Flavour Sync Meetings. Notes from the July Meeting can be found here.
  • We announced extension of Ubuntu Summit 2023 CFP to 21st July. We reached out to various community platforms to spread the word.
  • We asked the Ubuntu community what they think about Matrix as a modern communication platform. We posted on discourse to encourage a positive dialog and gather feedback.
  • As part of the KDE Akademy Sponsorship, we’re holding a quick 3 minute presentation about our overlapping goals and working better together.

Pulse 2023-15

Dates: July 17 – July 31

  • We met with various Ubuntu Flavour leads and folks from the Canonical Desktop team as part of our regular Flavour Sync Meetings. Notes from the July Meeting can be found here: Ubuntu Flavor Sync Meeting Notes - July 10, 2023
  • The patch pilot program we are working on has had its first successful internal run. Feedback has been fairly positive, so we are announcing this more publicly soon!

  • A meeting with the design/content teams has resulted in some tangible improvements for the Ubuntu Weekly Newsletter. We’re thinking about editorialized content, featured photos, and linking out verbose content. We’re working with the UWN team to see how these suggestions can be made useful.
  • We stated exploring frontend options for Ubuntu Weekly News to help increase community visibility and encourage future contributions.
  • We created A4 and A5 versions of flyers for Ubuntu Summit 2023, with useful information about the event, website link and QR codes.
  • We published a blog post on Ubuntu Summit 2023 logo reveal
  • We evaluated various options for sender email address for the Ubuntu Summit 2023. We’ll go with a canonical.com email since DKIM is set up there (yes, fixing DKIM is still on our radar).
  • We created a web page on the Ubuntu Summit 2023 indico site, and gathered useful information regarding travel and tourism.
  • We worked with foss.events to update our event with updated Ubuntu Summit 2023 logo
  • All abstract submissions for the Ubuntu Summit 2023 have been reviewed.
  • We closed the Ubuntu Summit 2023 CFP on July 21.
  • We reached out to Mozilla and asked to share their journey to Matrix as a community communication platform. We also asked questions about migration process, moderation tools, server management.
  • That’s a wrap! We had a great time at KDE Akademy! Read more about our experience at in our event report!
  • We established a table schedule for GUADEC 2023. Mauro is the primary staff at the table, while Latvia LoCo leader and other Canonical folks are helping as secondary / backup.
  • Held a meeting with speakers and booth workers from Canonical to discuss our presence at this year’s OSCAfest in Lagos, Nigeria. We spoke about what went well and what can be improved at next year’s event.
  • We created a new Local Communities (LoCo) category within the Ubuntu Discourse where regional teams can organize and collaborate together. This is part of a shift to a new LoCo platform that’s being steered by the LoCo Rebooters Team.
  • We created an automation template for the work around release wallpaper competitions.

  • We hosted an interview with Liam Dawe, the creator and editor of GamingOnLinux. The video will be published on the official UbuntuOnAir YouTube channel on July 28th.

Pulse 2023-16

Dates: July 31 – August 14

  • The Ubuntu Patch Pilots program is now public. Pilots will start to use @pilot in on IRC, and we have project documentation available. An announcement will go out early next pulse.
  • Added the Patch Pilot Program to the the Ubuntu Community frontend. The section can be found here: https://ubuntu.com/community/contribute/ubuntu-development
  • We configured our Indico event management platform to send acceptance or rejection emails to abstract submitter. We reviewed automated email templates, edited for this year’s event, and tested the system.
  • We reviewed abstract submissions for the Ubuntu Summit 2023.
  • We worked with web & design team to update graphics on Ubuntu Summit 2023 event website.
  • We confirmed that there is only one option for additional entertainment/social events during the summit. Being it a shorter event, we only have a slot on the Saturday 4th November evening. We worked with the EA team to book resources for the night of Saturday 4th November, and we got permission by the Hotel event manager to open 2 breakout rooms on the same day, after dinner.
  • We worked with Canonical’s EA team and Radisson Blue Latvia hotel to plan, schedule and book the opening mixer social event for the Ubuntu Summit 2023. Details on specific date and time will be shared on the Ubuntu Summit 2023 event website.
  • Held a meeting with speakers and booth workers from Canonical to discuss our presence at this year’s OSCAfest in Lagos, Nigeria. We spoke about what went well and what can be improved at next year’s event.
  • Migrated core LoCo documentation to the new Community frontend. These resources can be found at: https://ubuntu.com/community/locos
  • We’ve started adding in Ubuntu LoCo documentation, created in conjunction with the LoCo Rebooter Group, under the ubuntu.com/community frontend. To join in the LoCo Reboot effort, please check out this Ubuntu Discourse topic: LoCo council and loco teams resurrection
  • We coordinated keynote submission for UbuCon Korea with Canonical keynote speakers. We also confirmed names of all Canonical attendees with, their roles, registrations and logistics sorted. We reviewed Keynote abstract and title, and finally we communicated all details to conference organizers.
  • The Community Team announced the start of the Mantic Minotaur wallpaper contest on the Ubuntu Discourse. Artists and photographers from around the community are encouraged to submit their best works in hopes they will make it into the 23.10 release.   • Created a unique, mascot themed banner for the Mantic Minotaur Wallpaper competition. The banner image is free for the community to download from here.

  • Patch pilots are meeting to discuss feedback on git-ubuntu and how to improve it
  • Read more about the return of the patch pilot program
  • We completed the Ubuntu Summit 2023 speakers banners, linked to social media campaign and sent banners to speakers.
  • We worked on Ubuntu Summit contributions, edited session times to match submitted abstract, reached out to all speakers to handle event registration and travel sponsorship.
  • We found a suitable MC (Master of Ceremonies) for each day of the Ubuntu Summit 2023
  • We created a blog post for DebConf, and we created a ticket for social media promotion.
  • Promoted DebConf activities on the various Ubuntu social media channels
  • We created a conference report on GUADEC 2023 and posted it on the Ubuntu Discourse, under Events category: https://discourse.ubuntu.com/t/guadec-2023-event-report/37953
  • Migrated core LoCo documentation to the new Community frontend. These resources can be found at: https://ubuntu.com/community/locos
  • We worked with the Canonical desktop team and David Mohammed from Ubuntu Budgie to make sure new flutter-based subiquity installer snap can be installed by Ubuntu flavours. Documentation has been written to track all required steps, and issues have been filed directly on the project’s github.

  • We worked with the marketing team to free storage space from the streamyard platform. The community team confirmed that all important videos from Ubuntu Summit 2022 are backed up on other storage, and all Indabas are successfully uploaded to YouTube. Marketing team can proceed with storage cleanup as needed.
  • Updated Ubuntu Summit timetable with additional categorization and selection context.
  • We enabled remote registration options for the Ubuntu Summit 2023. Register now!
  • We prepared a discourse post to capture questions for our panel talk by the Ubuntu Community Council at the Ubuntu Summit 2023. We plan to list list the discourse post in October.

  • We hosted Flavour Sync meeting on the 11th September, 2023. Session 1 at 15:00 UTC, and Session 2 at 22:00 UTC. We also posted a report on the Ubuntu Discourse, under the Flavors category.
  • We created a document to collect all information needed to spotlight Ubuntu Summit 2023 speakers . This includes banners, session title, speaker, and abstract. We shared this document with communications team.

We invited interested individuals to this channel, and we made sure to be inclusive by keeping this channel open for everyone to join.   • As part of the initiative to support Matrix for the Ubuntu community, we sent a feature request to the Launchpad team to add a field where users can add their Matrix handle to their user profile.
  • We tested the ubuntu.com Matrix instance with Element desktop, mobile, web client, Fluffychat and other clients, including CLI. All clients were tested using SAML with Ubuntu accounts.
  • We tested Single Sign On using Ubuntu accounts via SAML on the ubuntu.com Matrix instance.
  • We tested space and room actions on our new Ubuntu.com Matrix instance. This includes creating new spaces, nesting spaces, creating new rooms, editing room names and listed addresses. All tests have been successful and we found no issues reported on the github tracker.
  • We worked with IS DevOps to deploy a Matrix instance. This Matrix instance will be used to test Matrix protocol, platform, synapse server and element clients with the Ubuntu community.
  • We selected candidates for synchronicity test phase 1 and announced testing phase in the appropriate channels.
  • As part of the Local Community Reboot effort, loco.ubuntu.com now redirects to the new LoCo frontpage where you can discover how to join a LoCo or start a new one in your region.
