Nepal is an incredible place to host an event like UbuCon Asia, given its stunning landscapes and rich cultural heritage. As a country that’s rapidly embracing technology, it has a vibrant and enthusiastic tech community that would welcome participants from all over.
What really sets Nepal apart is its incredible diversity—each region has its own unique traditions and languages, which adds a special flavour to any gathering. From the bustling streets of Kathmandu to the serene beauty of the Himalayas, the environment here is nothing short of breathtaking.
Bringing UbuCon Asia to Nepal would not only spotlight its growing tech scene but also create an unforgettable experience for attendees. They would leave not just with new knowledge and connections, but also with a deeper appreciation for the country’s culture and spirit. It’s a perfect opportunity to blend innovation with the warmth and hospitality that Nepal is known for.
The main community powering the event will be GNOME Nepal. A recent mega open-source conference hosted by Nepal was the GNOME Asia Summit 2023, which was a great success.
About the city

Kathmandu is the tech hub of the country. The trend in the tech begins from the city itself as it is the capital city of the country. So, hosting UbuCon Asia 2025 in Kathmandu will bring a huge wave of Open Source and Ubuntu knowledge all over the country.
Weather
In Kathmandu, Nepal, the weather in September and October typically transitions from the monsoon season to autumn.
September: The early part of the month is still influenced by the tail end of the monsoon, so there can be occasional heavy rainfall, though less frequent than in July and August. Temperatures in September range between 18°C to 28°C (64°F to 82°F), with more humidity. By mid to late September, the rains start tapering off, and the skies become clearer.
October: This is one of the best times to visit Kathmandu due to the pleasant autumn weather. The monsoon is usually over, leaving clear skies, mild temperatures, and lower humidity. Daytime temperatures in October range from 15°C to 25°C (59°F to 77°F), with cool mornings and evenings, making it ideal for outdoor activities, trekking, and sightseeing.
About the venue
As we are still in the proposal period, we would like to propose venue options ( SXC preferred ). The options we have shortlisted as of now are -

○ Kathmandu University is a good choice when it comes to hosting open-source-related conferences, as the University itself has a dedicated open-source community. The response to the Open source events is very good.
● St. Xavier’s College (SXC), Kathmandu, Nepal
○ St. Xavier’s College is one of the most popular colleges around the country located at the heart of the capital city. This makes it the most likely venue due to its location and the number of students it can make interested in the conference. The venue is easily accessible.
● Islington College, Kathmandu, Nepal
○ Islington College is also a popular college around the Kathmandu Valley for students and has a very good infrastructure to host international conferences. Islington College is also one of the options for the venue.

Immigration/Visa policy
Immigration Offices, under the Department of Immigration, have been facilitating tourists flying to Nepal by providing Visa on Arrival. ‘On Arrival’ visa procedure is very quick and simple. You can expect some queues during peak Tourist season. If you wish to skip those queues, you can also consider getting Visa from Nepalese Diplomatic Missions stationed abroad prior to your arrival. Choice is yours.
If you have obtained visa from Nepalese Diplomatic Missions, then you must enter Nepal within six months from the visa issued date. Your total stay is counted starting from the day you enter into Nepal.
Visas obtained on Arrival at the Entry and Exit points are ‘Tourist Visas’. They bear multiple re-entry facility. Tourist Visa ‘On Arrival’ is the only entry visa to Nepal. If you are visiting Nepal for the purposes other than Tourism (sightseeing, tour, travel, mountaineering, trekking, visiting friends and families), you should still get ’ Tourist Visa’ to get into the country. However, you must change the category of visa as per your purpose and length of stay in Nepal from Department of Immigration by producing required documents.

Passport Validity :
Your passport should be valid for at least six months from your entry date into Nepal and should have at least two empty pages.

Tourist Visas:
Most visitors to Nepal require a tourist visa for recreational and sightseeing purposes.

Accessibility within Asia continent
It is easy for people from other Asian countries to travel to Nepal. As, Nepal doesn’t have a train service, entering Nepal with the Plane is the best option. For the Indian citizens, the border is open, so they can either travel from plane or bus.
Public transportation
Public Vehicles i.e. Buses and mini-vans are the cheapest way to move around in the city.
E-hailing apps are also available. You can book either 4-wheelers or 2-wheelers according to your preference

Getting to the venue
The venue is between 20-25 minutes away from the airport or from many of our recommended hotels, depending on your choice of accommodation and transportation
The closest bus stand in Baneshwor Road is about a 5-7 minute walk.
Accommodations
Tribhuwan International Airport (TIA) is located 5.56 km east of Kathmandu.
Pathao or Indrive (E-hailing app) is the best way to commute from the airport right to the accommodation. You may have to download the app in advance.
Bus and taxis are also available. You will get a taxi at the airport gate.

How Local Ubuntu & FOSS community looks like in the region
There are several FOSS community in rise right now in Nepal. GNOME Nepal itself being formed after the last year’s GNOME Asia Summit has grown alot in just few months. Right now with 100+ members and multiple events and sessions, the interest in open source in the general public looks increasing. Other open source communities like KUOSC and NOSK are also actively working in Nepal.
