Ubuntu Governance Sync Meeting Notes - 27 May 2025

Representatives from the Ubuntu Governance bodies along with various Canonical, flavor and community leads met virtually, on May 27 2025 to discuss the state and future of the Ubuntu Community:

Welcome and Introductions

It is important to note that the Governance Sync Meetings have a clear goal to encourage communication and collaboration between various Ubuntu Governance bodies. The sync meetings are not created to gatekeep information, nor as a replacement for proper, established Governance processes, voting and decision making.

Agenda items

Lubuntu Council elections

  • Lubuntu Council elections coming up soon. @teward is working on this. Council extension will be required to complete the necessary steps for an election. @merlijn-sebrechts will help running the elections.

Communications council update:

  • Forum and IRC members have been merged with Ubuntu members. Forum Council has disolved, IRC council is being renamed to IRC Ops.
  • Matrix stability
    • Dashboards: make sure that there is a list of active tests beyond the “working or not working”.
    • Main issues: downtime, sync after downtime.
    • An easy and documented process to escalate Matrix related issues is needed. What are the expected SLA items and who will get back to us. This documentation should be available for Governance bodies .
  • All Ubuntu formus members have been moved over.
  • Discourse moderations meetings and communications council meetings. The teams would prefer google meet for the time being. @ilvipero and @Wild_Man to try and figure out how meetings can be started without someone from Canonical being in the room at the beginning of the meeting.
  • Google meetings : For governance meeting we could have a primary and backup location

Community council updates:

Launchpad

  • Challenge to show the actual duration of Launchpad members who were moved from one council to another.
  • TODO: Reach out to Launchpad team and see if this can be changed. @nhaines is willing to help.

Old platforms decommissioning and replacement

  • Question to move the calendar from the fridge to discourse. This is about time to retire wordpress and old platforms. Discourse calendar is very popular
  • Planet ubuntu also planned to be retired. A solution needs to be found . RSS Aggregator functionality specifically needs to be carried to Discourse or another platform before planet is retired.
  • Moving all the wiki articles to Discourse as well.
  • Ubuntu merchandidse requests can be sent by LoCo or other teams via the Ubuntu Community Request Portal: https://warthogs.atlassian.net/servicedesk/customer/portal/1
  • Ubuntu Merchandise store unfortunatelly is not actively been worked on and we have no timeline for this at the moment.

Get involved!

Ubuntu governance sync meetings take place every 2 months on the second Tuesday of January, March, May, July, September, November. There are two sessions, 3PM UTC and 10PM UTC, to best accommodate our global community. All are welcome to participate in the discussion here on the Ubuntu Discourse!

Pokes/notes: @merlijn-sebrechts is actually spearheading the Lubuntu Council elections right now with their Community Council powers and hat on. Election post was made yesterday to get nominees. Because I don’t want to show any bias I’m letting Merlijn handle the elections this time, as the CC offered to run it given the circumstances.
