Update from RJ - regarding discussing with COSCUP team
- COSCUP team has no problem having joint event with UCA
- We will have video call with COSCUP team on early February
- COSCUP team will Confirm event dates with the venue provider.
- COSCUP team requested us (UbuCon Asia team) to discuss and decide following items
- Urgent: UCA to finalize the decision on the joint event partnership.
- UCA Decisions Needed:
- Finalize the number of Keynotes.
- Propose preferred venue/track locations.
- Determine the policy for handling financial surplus.
- Decide on the submission referral policy with other tracks.

UCA to finalize the decision on the joint event partnership.
→ Yes, We will have joint event with COSCUP (Similar to RubyConf reference in 2025)
Finalize the number of Keynotes.
→ If possible up to 2 keynotes. Either send all of our keynote speakers to COSCUP’s Main hall, or one for our own hall and the other for COSCUP’s Main hall.
Propose preferred venue/track locations.
COSCUP uses 2 buildings - We need to decide which building to choose.
Potential Rooms: Audiovisual Theater (AU - mid-sized), RB102 (sloped lecture hall), or TR Building classrooms.
→ We will discuss preferred room details later.
Determine the policy for handling financial surplus.
→ We can make decisions after the COSCUP. If we see a financial surplus, and need many funds for next year’s event, we can ask them to contribute (transfer to OSC). if we don’t need much funds for next year - we can just let them what they want (either contribute to next year or use that for Ubuntu TW or next COSCUP)
Decide on the submission referral policy with other tracks.
Referrals: Discussing whether COSCUP or other community tracks can refer submissions to UCA (and vice versa). → RJ will ask about detailed referral policy info to the COSCUP team.
